You got a great job offer—but realized it’s not the right fit for you at the moment. Here’s how to navigate the situation gracefully and leave the door open for future opportunities.

* Act quickly. Swiftly declining the offer—ideally within 24 to 48 hours—is crucial. Delaying your response can unfairly string the potential employer along and hinder their recruitment process, leaving a bad taste in their mouth.

* Ditch email. While it may be less uncomfortable to deliver the bad news via email, don’t take the easy way out. A phone call is more personal and respectful, and allows you to demonstrate your sincerity and regard for the opportunity you’re turning down.

* Frame your response with grace. When you’re declining their offer, consider the situation from the employer’s perspective. Acknowledge that your decision, though right for you, was difficult to make. It is also essential to provide a clear reason (without being harsh or critical). Focus on how the opportunity doesn’t align with your career goals or personal circumstances.

* Stay in touch. Maintaining a connection with the people you encountered through the application process is a strategic way to expand your network and stay on their radar. Remember, these are professionals who recognized your potential and valued your skills enough to extend a job offer.
